Responsible Bodies
German Toilet Organization e. V. is responsible for the data processing directly related to the execution of the online seminar.
If you visit the Zoom website, for example to download the Zoom software or to use the browser version of the tool, Zoom Video Communications, Inc. is responsible for data processing.
Data Processing
The amount of data collected during a seminar or meeting depends on how much information the seminar participants provide before or during the use of Zoom.
The following personal data are or may be subject to processing:
User data:
• first name, last name
• e-mail address
• Phone (optional)
• Password (if no "Single-Sign-On")
• Profile picture (optional)
Seminar metadata:
• Topic
• Description (optional)
• Participant IP addresses
• Device/Hardware Information
In case of recordings:
At the beginning of the seminar the speakers will obtain the consent of all participants for video and audio recording of the event. If the seminar is to be recorded, the recording will be saved as an MP4 file or M4A file.
Text, audio and video data:
During the online seminar you can use the chat and question functions. Any text entries you make will be processed to display them in the Online Seminar and, if necessary, protocol them. In order to enable the display of video and the playback of audio, the data from the microphone of your end device and from the video camera of the end device will be processed accordingly during the duration of the meeting. You can switch off or mute the camera or microphone yourself at any time using the "Zoom" applications.

During the online seminar or meeting, a screenshot of all participants will be taken at irregular intervals as proof of participation to the sponsor. The storage of the screenshot is in the interest of the participants in order to ensure the recognition of their participation.
Chat content:
If it is necessary for the purpose of protocolling the results of the online seminar, we will protocol the chat contents. The protocol can also be used to answer questions that were asked in the chat, afterwards.
If you are registered as a user at "Zoom", reports on zoom meetings (meeting meta data, telephone dial-in data, questions and answers in online seminars, survey function in online seminars) can be stored up to 30 days at "Zoom".
Receiver/ Disclosure of Data
Personal data collected in connection with the participation in our online training is stored in order to be able to document the participation in the seminar to the sponsors of our projects or to fulfill contractual services.
The sharing of personal data among the seminar participants in the context of a list of participants is only carried out with the consent of the participants.
The video and audio recordings, which may be made during the seminar with consent from all participants, are used for documentation purposes, but can also be shown to future speakers during the preparation of the seminar or to future participants during the seminar itself.
Photographs taken during the online seminar are used for documentation and, if applicable, for digital reporting (social media, website, newsletter). Participants can object the publication.
Data processing outside the European Union
“Zoom" is a service provided by a provider from the USA. Processing of personal data therefore also takes place in a third country.
An adequate level of data protection is guaranteed on the one hand by the conclusion of the so-called EU standard contract clauses, and on the other hand, as a supplementary protective measure we have configured our zoom in such a way that only data centers in the EU, the EEA or safe third countries such as Canada or Japan are used for conducting online seminars.
Your Rights
You have the right to be informed about the personal data concerning you. You can contact us for information at any time. Furthermore, you have the right to correction or deletion or to restriction of processing, as far as you are legally entitled to do so. Finally, you have the right to object to processing within the scope of the legal requirements.
Deletion of Data
As a matter of principle, we delete personal data when there is no need for further storage. A requirement may exist in particular if the data is still needed to fulfill contractual services. In the case of legal storage obligations, deletion will only be considered after the respective storage obligation has expired.
